Prior to Ceremony- day of
 

  • Arrival at bride’s dressing area

  • Ensure all members of bridal party are present and are getting ready as scheduled.

  • Assisting with any dress, shoe, makeup, or jewelry issues.

  • Ensuring transportation has arrived for all members of traveling bridal party to church/venue

  • Making sure all necessary items are packed and on their way to the church/venue.

Prior to Wedding:

  • Meeting with bride to go over details of wedding day, including vendors, and timelines. 

  • Initial contact with all vendors to discuss all contracts.

  • Walk-through of venue with couple

  • On-site visits as needed for event production

  • Gathering information such as bridal party names and all needed forms*

  • Creation of timeline

Ceremony
 

  • Coordination of distribution of wedding programs, bubbles, etc, to guests

  • ​Ensure attendance of all needed members of the bridal party including parents.

  • Making sure all members have proper flours boutonnieres/bouquets

  • Fixing any last-minute dress or tuxedo issues

  • set up anything particular at church/ i.e., guest book, pictures, flowers, runner, unity candles

  • Communicating as a liaison between officiant and music player to ensure proper timing of events, and start of ceremony.

  • Coordination and lining up of bridal party

  • Coordination of receiving line

  • Ensuring arrival of bridal party to picture location.

Prior to Reception
 

  • Greeting vendors and instructing all where to set-up

  • Carefully coordinate with vendors timelines for the evening, as well as any special requests or special dances/toasts.

  • Coordinating set up of dining room- double checking all table seating numbers, chairs, and all final details Making sure placement of flowers and favors are as ordered and in correct locations.

  • Coordinating with caterer on food timeline for the evening

  • Set up of cake table, gift/card table, and any other special requests.

  • Set up guest book, champagne glasses, cake knife and server, cake topper.

  • Set up of table numbers and place card table

  • Checking table for missing silverware, napkins, plates, glasses, S&P shakers, etc

  • Addressing any cocktail hour issues, ensuring proper food flow in Cocktail hour

  • Alerting guests when it is time for them to head to the main reception area

  • Making sure all vendors are ready by reception start time

  • Addressing any and all vendor issues, making sure necessary photos are taken. 

Reception
 

  • placement of cake on cake table

  • lighting of all candles in dining room and straightening of all chairs

  • Ensuring first course is ready to be served

  • Pouring of champagne for toast

  • Room reveal for bride and groom

  • Coordination and execution of grand entrance by bridal party

  • Placement of bridal party on dance floor for “wedding arch”

  • Gathering of bouquets on dance floor and arranging on appropriate tables

  • Coordination of first dance

  • Execution of toast

  • Coordination with caterer to ensure course are delivered on time

  • Coordination with DJ to ensure proper music is played and guest are seated with each course and food is announced

  • Coordination with photographer and DJ to ensure all major events are caught on tape

  • Execution of cake cutting ceremony/ parent dances/ bouquet-garter ceremony

  • Putting out any “fires” that may arise throughout the reception

  • Pack up items such as cake top, knife and server, champagne glasses, place cards, pictures, bouquets, cake topper, etc.

  • Ensure reception departure transportation

  • Distributing all gratuities to vendors, making sure all leftovers and additional items are secure.

ADDITIONAL SERVICES

Wedding Coordinator x2!-

An additional day of coordinator will act as a second pair of eyes and ears to the Main Coordinator allowing for greater attention to detail and seamless execution of all events throughout the day. Ever hear the expression "I can’t be in two places at once!” Well, with a second coordinator, I absolutely can be! One coordinator can help the bride and the other can coordinate with vendors, bridesmaids, your mom, etc.

Bridal Attendant (day of)-

  • Assist bridal party throughout the whole day from the moment she arrives at “getting ready” location to departure after ceremony.

  • Assist with all dressings, make-up, & hair issues, fixing any problems on site.

  • Serving bridal party food and drinks through the entire day, always being within an earshot and acting as a liaison when needed to between Wedding Coordinator and vendors. 

  • Holding train and bouquet for bride and bridal party when needed.

  • Gathering of family for photographs and reception introduction

  • Gathering food for bride and groom during cocktail hour and providing cocktail service throughout reception and cocktail hour. 

  • Wrapping up any food requested to take home/along with top tier of cake.

  • Assisting bride with bathroom if needed.

  • Continual personal drink service for b/g and bridal party all night along with “VIP’s” such as parents or immediate family members.
